Election of Officers:
Discussion regarding the position of Treasurer, duties and responsibilities. Gene stated that Jennifer Linde does most of the work, and then produces the reports for the Treasurer to review and present at the meeting. The Treasurer signs the checks to pay Jennifer.
Cherie Swanson nominated Gene Unger for President. Donna Nichols seconded.
Donna Nichols nominated Mike Rauch for Vice President. Denise Clarke seconded.
Roxi Baxley nominated Jeri Boe for Treasurer. Cherie Swanson seconded.
Donna Nichols nominated Don Nunley for Treasurer. Don declined the nomination.
Donna Nichols nominated Roxi Baxley for Secretary. Cherie Swanson seconded.
Gene called for any additional nominations. There were no other nominations and Roxi made a motion to close the nominations. Don Nunley seconded. Nominations were closed.
Slate of Officers for 2017-18 were approved.
Architectural Committee:
It was discussed that as Vice President, Mike is now the Chair of the Architectural Committee. Roxi stated that there were enough people on this committee and she did not see that she would need to remain a member. No action was taken on this.
Minutes:
Mike corrected the minutes to state that he said he would get bids to kill weeds. Mike moved and Donna seconded to approve the minutes as amended. Motion carried.
Treasurer’s Report:
The financials were presented with the Activity Statement as year end, rather than monthly. Gene / Jeri would ensure that going forward we would receive monthly info as well. There was discussion regarding garbage and recycle pickup days. A request was made that the breakdown of A/R be included in the financial reports. Discussion was had about adding the $35.00 note on statements for those that are past due regarding the late fee. Roxi moved to accept the financial reports as presented. Mike seconded. Motion carried.
New Business:
Roxi asked about the Condo / Lien / Foreclosure activity information that was presented to Gene. Gene said he would followup, but that he had not yet provided the information that was requested.
It was suggested that we add a line item on the financials for “Secretary of State” to ensure that the Corporate License Renewal is taken care of annually. By having a line item it would call attention to this.
Gene stated that the gate was ready to be painted, but that he had lost the color choices. Roxi stated that she would contact Mary Hunchberger to see if she still had the information.
Maple Grove Work Day is scheduled for April 29 with the potluck to be held at Donna Nichols’ new house. Roxi stated that she would do an “e-vite” to all owners. Gene will order the bark. Roxi will get the four bags of concrete and will ask Ron / Winston if they would bring their post hole digger for the pet stations.
Gene shared info about what would be involved in the Dock Repair. Requiring 2.5 to 3 hours. We will need to have a separate Dock Day as those that can do the work are not available on the work day.
There was much discussion on allowing homeowners to work 3 hours in exchange for $50 off their dues in excess of the one-time only as has been in the past. Roxi made a motion to allow homeowners to work at Maple Grove and for every 3 hours they could get their dues reduced by $50. Donna Nichols seconded. More discussion followed and a couple of scenarios were presented that showed that the A/R would or could be reduced significantly by implementing this idea. Roxi withdrew her motion as it could have a potential negative impact on our financials.
There was discussion regarding the jetskis sitting in the field northwest of the gate. Roxi will contact the Sheriff’s Department in order to determine ownership.
Roxi requested more photos for the website. We can create a photo album for ourselves (and others) to view for the fun that we have at the lake.
Old Business:
Don Nunley reported back on replacing the slide at the swimming area. He stated that he found prices anywhere from $250 to $2,500. He stated he would continue to do the research.
Mike reported back on the idea of community mailboxes. He said that the price was significantly more than he had anticipated. It was decided that he would talk to the Postal Service about he idea of a large box for packages that keys would be provided to those that might receive something. The intent is to avoid having “pink slips” placed in mail boxes that require a trip to town the following day to pickup the packages.
VRBO Committee:
It was agreed that a VRBO committee would be a good idea, but that the committee should have goals in order to be successful.
It was determined that a contact list for Maple Grove Homeowners (requires approval by the homeowners to have their information included) would become available on the Members Section of the website.
More discussion about the septic/renters was necessary. Neighbor rules is one of the items that should be reviewed. Gene stated that he would have a conversation with the Health Department regarding “beds”. Advertising is the issue when it comes how many people a home is being rented to.
Denise Clarke shared her concerns regarding the increased use on infrastructure and wondered about having a fee for this. She also asked about liability of common areas. Is there a greater liability for Maple Grove? No action was taken on the creation of this committee.
There being no further business, the meeting adjourned at 5:33pm.
Next regular board meeting: May 16, 2017 at 3pm at ACTI.
