Meeting was called to order at 3:00pm.
Minutes: February minutes amended to state: Gene Unger explained maximum occupancy for short term rentals. Per septic system design on file with Clallam County, 2 persons per permitted bedrooms is the maximum occupancy for rentals.
Gene motioned to approve the minutes as amended. Don seconded. Motion carried.
Treasurers Report: Jennifer and Gene worked on preparing 2017 Annual Budget. 2016 numbers came in approximately $28,000 under budget.
New Business:
Proposed 2017 annual budget was reviewed. Mike motioned to approve amended proposed budget. Don seconded. Motion carried.
Annual dues increase. Projections for maintaining reserve accounts reflects that current annual dues rate will not sustain our reserve levels. A recommendation of increase to annual yearly dues by $225 was made. Increase will be voted upon at annual meeting. Suggestions for RV park water rates and billing were discussed. No changes at this time. Topic will be revisited sometime in future, if needed. Issue at hand is some RV sites are being used year round and not paying for year round water.
Waterslide in community swim area is in need of replacing. The slide has become a safety issue. Don will research costs for a suitable replacement and report at next meeting.
Beautification of Maple Grove.
- Community Mailboxes. These would replace all the individual mismatched boxes currently in place. Each property would have a locking box. Mike will research costs and sizes and report at next meeting to see if this is something owners may want in the future.
- Lawn/Grounds Upkeep. Suggestion made that possibly something can be done regarding appearance of grassy areas. Weed control? More frequent mowing and weed whacking? Gene suggested that if grass/weeds appear to be in need of cutting then a board member can contact Steve. If Steve is unavailable Tammy Witherell has been assisting in the mowing.
- Recycle Bins. The recycle bins have been filled to capacity every week, leaving owners not able to recycle. Gene will look into adding additional bins or replacing with larger ones. Gene will report back at next meeting.
Annual Work/Cleanup Day. This year April 29 at 9am has been set. Potluck lunch at Gene’s home. All homeowners are encouraged to attend. A $50 credit will be applied towards annual dues for working. ($50 per lot, not per person working.) During this cleanup some items being attended to will be the installation of the Mutt Mitt poles, repair of windblown leaning sign on lawn in community swim area, new bark being distributed. Gene will order bark. Owners working that day will need to sign in with Roxi for credit.
Annual Meeting. April 8 will be the annual meeting. Gene will be Agenda together and work with Jennifer for a mailing notice to all homeowners.
Old Business:
RV Park tree removal. Gene will review invoice/estimate received and will speak to RV park lot owner regarding payment.
Painting of entrance gate. Gene presented estimates. Existing budget allows for project. Gene will follow through and have project started.
Short Term Rentals. This will be a community discussion at the Annual Meeting in April.
There being no further business, meeting was adjourned at 5:30pm.
Next regular board meeting: April 18, 2017 at 3pm at ACTI.
